Scheduling an Outage

To insure that the effect of utility interruptions on campus operations is minimized – please follow the procedures below:

Requests for utility interruptions should be approved/signed, and submitted to the Customer Service Center prior to 3:00 p.m. otherwise they will be considered received the next working day.

1. Purpose
To ensure that the effect of utility interruptions on campus operations is minimized and that the campus community is given sufficient notice to avoid the disruption of critical functions.

2. Intent
To clearly define coordination responsibility related to utility outages affecting major buildings or portions of buildings/systems.

3. Procedure
Contractors may not interrupt any service without coordinating with Facilities. All disconnects and restoration of services must be performed by Facilities personnel.

3.1 When a utility interruption is required, the requestor is responsible for determining the type of interruption that needs to be performed.

3.2 The requestor is responsible for determining the area(s) and building(s) that will be impacted by the planned outage as well as coordinating with team(s) that maintain the services to be interrupted. Once determined, the requestor should submit an interruption request through the Facilities Service Portal. The interruption request will be routed through the appropriate internal channels for approval. The requestor will receive an automated notification upon approval. The approval status can be checked anytime through the Facilities Service Portal.

3.2.1 If a work order number already exists, please include it in the interruption request. Otherwise, provide the account number to be charged.

3.3 Upon final approval of the interruption request, all affected parties will be notified of the interruption by the Facilities Customer Service Center.

3.4 The requestor must submit a new request to modify any existing scheduled interruption request.

3.5 The following is the minimum amount of notice that should be allowed for a utility interruption:

Minor electrical/plumbing/mechanical outages for single branch circuits/supply pipes serving a limited area are not covered by this policy. It is the responsibility of the shop/contractor performing the work to notify building occupants in advance and to provide alternate sources and services as required.

3.6 All requests for utility interruptions must be submitted through the Facilities Service Portal by 3:00 p.m. Requests received after 3:00 p.m. will be considered submitted on the next business day. Requests submitted outside the required notification period require approval by the Assistant Vice Chancellor, Campus Operations and Maintenance, or their designee.

For emergency situations requiring an immediate utility disconnect to prevent imminent property damage or major service disruption, contact the Facilities Customer Service Center.

If there is a risk of injury or loss of life, call 911 to ensure the safety and well-being of all individuals.
